Independent and small-group letting agents in England already hold the certificates, the landlord relationships, and the staff rotas. Spreadsheets do not survive 50–500 managed units and a 1 May 2026 tenancy regime.
CP12 PDFs in inboxes, EICRs in a shared drive, EPCs on the marketing site. When a landlord or council asks for the file, the office reconstructs it by hand.
The Information Sheet had a 31 May 2026 deadline. The PRS Database is planned from late 2026. If service dates live in a notebook, the branch cannot prove who did what.
Head office plus branches need roles, not a shared password. Property managers should see their units; owners need the whole RAG board.
